Office Manager

The Office Manager reports to the Finance Director and is responsible for the general and day-to-day administration of the front office; working with our customers, employees and vendors, including guest reception, answering phones, and managing office equipment. The Office Manager works in concert with other office staff, departments, and the Finance Director.
The mission of the Office Manager is to be the hub of the front office and be an advocate for our customer, employees and vendors in a positive and professional manner, working with other office staff to balance workload between administration, accounting and operations.

What we’re looking for:

  • Three or more years experience in the property restoration industry, preferred
  • A minimum of three years’ experience managing an office
  • At least three years’ experience in general office functions
  • Excellent verbal and written communication skills
  • High-level of comfort with technology, internet, computers and software
  • Front office telephone system familiarity
  • Positive, energetic, self-starters who thrive in a fast-paced, dynamic environment

What you’ll be doing:

  • Phones: Primary incoming call responsibility, backed up by two other staff
  • Entering new customers/jobs to CRM system (ClientRunner)
  • Greeting and welcoming visitors and directing them appropriately
  • Notifying staff of guest arrival
  • Maintain a safe and clean reception area
  • Enhance organization by accepting ownership for accomplishing new and varied requests; continually exploring opportunities to add value to the position

Administrative

  • Mechanics Lien management and filing
  • Daily A/P filing
  • Office supplies
  • Determine inventory levels
  • Anticipate requirements
  • Placing orders
  • Stocking upon receipts
  • Office equipment
  • Learn, use and maintain telecommunications system per manufacturer instruction
  • >Learn, use and maintain other equipment like copiers and computers
  • Scheduling preventative maintenance
  • Troubleshooting failures
  • Calling for service, repairs
  • Monitoring operation

Required education:

  • High school or equivalent
